Users

Admin → Users → Users list is where accounts are created and maintained. The list loads from the server: search, ordering, and paging apply to the whole user table, not just the rows on screen.

New user form

The new user form: required fields are marked with a red asterisk.

User list with the status, role and department columns

The list

Behaviour Detail
Search By username, full name, or email
Order Click a column header; ordering applies to every page, so the first page of Username descending shows the last user alphabetically
Columns Choose which columns are visible; the avatar column always stays first, and your choice is remembered between sessions
Open Double-click a row to edit it, or select it and use View for a read-only form without a Save button
Total The footer counts every user in the workspace

Create a user

Field Rule
First name, Last name Required. Accents, ñ, apostrophes, hyphens, and dots are accepted; digits and emoji are not
Username Required and unique. A duplicate is reported on the field itself
Email Required and unique
Role Required, default Operator
Status Active or Inactive
Due date Optional; a past date is refused
Date of birth Optional; the user must be 18 or older when it is set
Password, Confirm password Required; the two must match
Photo JPG, PNG, GIF, or WebP, up to 2 MB, cropped to a square. Without a photo the user shows their initials

Saving opens a confirmation; Cancel in that confirmation keeps the form open and saves nothing.

Edit, deactivate, delete

  • Edit reopens the same form with the values loaded. Leaving the password empty keeps the current one.
  • Activate and Deactivate apply to one or several selected users and ask for confirmation first; the confirmation names the user or the count.
  • Delete also asks for confirmation. Deleting removes the account; deactivating only blocks sign-in.
  • Users marked as protected cannot be edited or deleted from this page.

Photos

The upload opens a square crop. A PDF or a file over 2 MB is refused with a message and the crop does not open, so the current photo stays.

Passwords

Administrators can set a password and require a change at the next sign-in. Password recovery for end users needs an email server; see Email servers.
