Uploading documents

An input document step collects files from the person working the case. The step shows what is already uploaded before the upload controls, and it tells you the allowed types and the maximum size for the step.

The step

At the top of the step you see:

  • Uploaded documents, with the files already sent;
  • Allowed types, for example PDF only;
  • Maximum size, for example 1 MB.

Upload files

  1. Choose Attach documents. The upload panel opens next to Uploaded documents, and below it on a narrow screen.
  2. Choose Add files and select several files at once.
  3. Each file gets its own comment field.
  4. The button counts the files: Upload 3 files.
  5. Choose it. Progress is shown while the files upload.
  6. The step reports how many were uploaded — for example 3 files uploaded. — and the files appear under Uploaded documents, each with its comment.

Folders and drag and drop

  • Add folder adds every file in the folder and its subfolders, showing the folder path of each one.
  • You can also drag files or folders onto Drag files or folders here.
  • Remove from list takes a file out before it is uploaded.
  • Use the same comment for all files replaces the individual comment fields with a single one.

Files that are refused

Problem What you see
Type not allowed for the step The row is marked File type not allowed
File larger than the maximum The row is marked Exceeds the maximum size
Both, in a batch A notice says how many files will be skipped, and the button counts only the valid ones

Refused files are not uploaded, and the valid ones in the same batch still are. The count in the button and in the notice must match the files that are actually sent.

Partial failures

If the server rejects some files of a batch, the step reports {ok} uploaded, {fail} with error and keeps the failed files in the list with the server message, so you can retry them or remove them. Files that succeeded stay uploaded — the whole batch is not discarded because of one failure.

Versions

When versioning is enabled for the step, uploading a file with the same name creates a new version instead of a second document:

  • the file is marked new version before you upload it;
  • the document shows 2 versions and the expander lists them;
  • each version shows author, date, task, format, pages, and size;
  • previewing or downloading a version returns that version's file.

Documents cannot be deleted from the step

From an input document step you can only view and download. There is no delete action, in the list or in the viewer, because the document is evidence of the case. Removing a document requires the case to be cancelled or an administrator to act through the case documents panel.
